Privacy Policy

Overview

Mycoledger is a product of Myco Money LLC ("we," "us," or "our"), based in Austin, Texas. We built Mycoledger to help entrepreneurs manage bookkeeping across multiple business entities. This policy explains what data we collect, how we use it, and how we protect it.

We believe in transparency: we collect only what we need to provide the service, we never sell your data, and we give you control over your information.

Information We Collect

Account information: When you create an account, we collect your name, email address, and authentication credentials. Authentication is managed by Clerk, our third-party authentication provider.

Business and financial data: You provide business entity information (entity names, entity types, tax form classifications) and financial transaction data through CSV file uploads or, when available, through read-only bank connections via our banking data provider (Teller or Plaid).

Bank connection data: If you connect a bank account, we access transaction data in read-only mode only. We cannot initiate transfers, move funds, or modify your bank accounts in any way. We access only the transaction history and account balance information necessary to provide the service.

Usage data: We collect standard usage information such as pages visited, features used, browser type, and device information to improve the product.

How We Use Your Data

We use your data to:

• Provide and maintain the Mycoledger service, including categorizing transactions, generating reports, and producing tax-ready exports
• Authenticate your identity and secure your account
• Improve the product based on usage patterns
• Communicate with you about your account, service updates, or support requests

We do not sell, rent, or share your personal or financial data with third parties for marketing purposes. We do not use your financial data to build advertising profiles. We do not share your data with data brokers.

Data Storage and Security

Your data is stored in Supabase (built on PostgreSQL) with the following security measures:

• Encryption in transit: All data is transmitted over TLS 1.3 encryption
• Encryption at rest: All stored data is encrypted using AES-256
• Row-level security: Database-level policies ensure that each user can only access their own data. Your data is isolated from every other user at the database level.
• Infrastructure: Our application is hosted on Vercel with SOC 2 compliant infrastructure. Our database is hosted on Supabase with SOC 2 Type II compliance.

Third-Party Services

We use the following third-party services to provide Mycoledger:

• Clerk — Authentication and user management
• Supabase — Database hosting and storage
• Vercel — Application hosting
• Teller / Plaid — Read-only bank account connectivity (when enabled by user)
• AI categorization provider — When you use auto-categorization, transaction descriptions (not amounts, account numbers, or personal identifiers) may be sent to a third-party AI service to suggest categories. No financial data beyond the transaction description is shared, and this data is not used to train AI models.

Each of these providers has their own privacy policies and security certifications. We select providers that meet industry-standard security requirements.

Bank Data Specifically

We take the handling of bank data seriously:

• Bank connections are read-only — we cannot move money or modify accounts
• You can disconnect a bank account at any time
• Bank credentials are never stored by Mycoledger — they are handled entirely by our banking data provider (Teller or Plaid)
• We access only transaction history and account balance information
• Bank data is never shared with third parties beyond what is necessary to provide the service

Your Rights and Controls

You have the right to:

• Access your data: You can export all of your data at any time through the Mycoledger dashboard
• Delete your data: You can request complete deletion of your account and all associated data by contacting us at support@mycoledger.com. We will process deletion requests within 30 days.
• Disconnect bank accounts: You can remove bank connections at any time through the dashboard
• Update your information: You can update your account information through the dashboard at any time

Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete all associated data within 30 days, except where retention is required by law (such as transaction records required for tax or legal compliance).

Cookies

We use essential cookies required for authentication and session management. We do not use advertising cookies, tracking cookies, or third-party analytics cookies that follow you across the web.

Children's Privacy

Mycoledger is a business tool designed for adults. We do not knowingly collect data from anyone under the age of 18. If we learn that we have collected data from a minor, we will delete it promptly.

California Privacy Rights (CCPA)

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA):

• Right to know: You may request that we disclose the categories and specific pieces of personal information we have collected about you, the sources of that information, and how it is used.
• Right to delete: You may request the deletion of your personal information. We will comply within 45 days, except where retention is required by law.
• Right to opt out of sale: We do not sell your personal information to third parties. We have never sold personal information and have no plans to do so.
• Right to non-discrimination: We will not discriminate against you for exercising your CCPA rights.

Changes to This Policy

We may update this privacy policy from time to time. If we make material changes, we will notify you by email or through the Mycoledger dashboard. The effective date at the top of this page indicates when the policy was last updated.
